Too Many Data Changes Warning - SFTP/Clever

We wanted to provide you with more information on how to interpret and fix the “Too Many Data Changes” warnings that you’re receiving for some of your students.

You can view these warnings by navigating to the “Apps” tab and clicking “view logs” on the right-hand side. Click the green carat to the right of the warning to view it in its entirety. You’ll then see a warning message that looks like this:

{
"ID": “12345",
"DOB": "2015-09-27",
"State ID": null,
"Last Name": “Smith”,
"First Name": "Jon",
"Grade Level": "5",
"Student Number": “12345",
"Existing Student Record": {
"ID": “12345",
"DOB": "2015-09-27",
"State ID": “33453",
"Last Name": “Smith”,
"First Name": "Jonathan",
"Grade Level": "5",
"Student Number": “12345"
}
}

The first half of the error is the record in Clever/SFTP, the second half of the error is the existing record in ALO.

For instances where both records are the same student with a name change (see the example above), you will want to edit the existing student record in ALO to match the SFTP file/Clever record. You can do so by navigating to the “Students” tab and using the search feature to find the student. Click on their name, and then click “Edit Student” in the upper right-hand corner. Edit the student to make the information match the first half of the warning message. Once this is done, save your changes. This student’s record will now update with a subsequent SFTP or full Clever import.

If you are unable to find the student in ALO, you will need to re-enroll them. You can do so by following the directions below:

Click the purple “My District” button at the top of your screen
Click the plus sign on the right-hand side
Click “Add Students” and then select “Re-Add Previous Students”
Type in the student’s name
Once you’ve selected them, click the purple “Add Students” button
You’ll then be able to follow the instructions below to update their information.
